To be honest, I'm a shy girl who dares not express myself in English. Sometimes I found myself in a situation where I wanted to say something but couldn't think of the appropriate words and phrases to express my true feelings. Last semeter, we also had the same Advanced Speaking English Class. I mustered up courage to speak English as much as possible, but I still wasn't quite satisfied with myself. Last week when I took the fist speaking English class in this semester, I found you a very responsible and passionate teacher. As I am going to take TOEFL on 7th,June, I hope to improve my oral English with your help and also by my own labor. And I also hold some expectations about this class. I hope this class can pay attention to daily communication, as well as some easily-understanding academic knowledge. And some introduction of the culture in foreign coutries will be fun, too. This is the last week that we had our regular course. This is also the time when I gave my first and last presentation. On the preparation Actually I’ve put a lot of time and energy into preparing for this speech despite those heavy homework burdens. I spent much time and energy in doing research on the Internet, collecting relevant materials in order to make a good PPT, and organizing sentences to clarify what I want them to know. And I did rehearse it several times before finally standing in front of the class. On the performance I got stage fright as usual when I first sit by the platform. Then I started out without turning to my script for help that often, which to me, is a progress compared to my former performances. Gradually, I did not feel that nervous, however, there came another problem. My mouth went faster than my brain. That means before my brain actually found out there was something wrong or imperfect in the words I was saying, my mouth had already finished the sentences. And the self-correcting and the pursuit of perfection left me with those uncertainty in completing a sentence as well as created some fractions of meaningless words. I was trying to overcome stage fright and distract myself from concentrating on my words and grammar too much, so I pay more attention to the pronunciation and the stress of certain information in a sentence. It worked to some extent. Before I saw the feedback from my classmates, I had a generally evaluation on my performances. If I were asked to give myself scores according to the rubric, it would be: 1.5 2.5 3.4 4.4 5.5 6.4 7.4 8.3 9.4 10.3 11.5 total 46 I was glad that I have made a progress even if it may not be a big step. But my unconfident and the constant stage fright kept bothering me. On the result According to the all-together 17 feedback evaluations from my classmates, I got an average score of 49/55. I would like to thank them for their attention and tolerance first. Now I will discuss the strength and weakness in my presentation. Almost all people wrote in their feedbacks that my PPT is good. It seemed that my efforts in making those slides paid off. Some of them mentioned other aspects like: the information is helpful, the pronunciation is fine, or the details are adequate and so forth. When it comes to the weakness, most people wrote about my voice. Some said it’s not loud enough, some said it’s not sure enough. All the comments lead to one conclusion, that is, I have to do more on interaction with the audience. This is one thing that I was concerning about when I was preparing, I thought about asking someone to talk about his or her connection with McDonald, but I was afraid that there would not be any volunteer, so I give up that idea. More important for me, I think, is to learn how take it easy and act more naturally on stage. I hope I will make progress on that aspect in the future. P.S. 1. I am going to take the oral English tests of CET-6, and I feel confused about how to prepare for it. 2. Could I e-mail you the PPT of this presentation as required? 3. You talked about the meaning of life on your reply last time, but that is too general. I have asked him about his interest but surprisingly found out that he had nothing that he wanted to do in particular. I felt sorry about that. That may results from his more than 12 years of education that puts grades above everything else. In the place where I come from, education is not always like that. I think I have to work hard to find a way to help him discover the meaning of life. That’s pretty much what I can do at present.

On cross-group discussion We had a kind of discussion called cross-group discussion (whose original name I cannot remember) for the first time in this week’s class. We were in groups of four or five people, each with a certain topic to talk about. What I thought is interesting is the topics vary from the philosophy of time to the curriculum setting, from summer holiday plan to different kinds of movies. There were more to explore, more to talk about in other groups that I had no time to visit. I cannot help to applaud for this activity, because we had got chances to cover quite a wide range of subjects, communicate with different people, exchange brilliant ideas, little trifles in life or something else. However, I wonder if that is the main purpose of this form of discussion. On research There are oceans of information out there on the Internet, and it is just a click away. I was doing search on my topic today, but too much useless information popped up, making the search task even more difficult. How to make a search efficiently is really a headache. On something I am concerning about recently I have a good friend who is keen on computer games, just like my other classmates, just like most boys in this college. I know he is not addicted to games, but I still hope he can do something more meaningful. When I talked to him about the game thing, he told me the reason was that life is more boring than it seemed to be and he had nothing else to do other than studying and playing. I am at a loss for words. I don’t know what to say to him. But I always have the feeling that he, or we, can actually do something, something that will make life brighter and more colorful. Out there in the darkness, we can find some dim light to guide our way…….

This time, we had a panel discussion better than we did last time. We followed the pattern of what we have watched on a TV program. Panel discussion consists of three parts, first, the moderator provides background information including news reports, video clips and introduces the panelists to the audience; and then, the moderator poses questions, prepared or unprepared, to each panelists and their job is to present their view on certain topics and exemplify their ideas or embody what they are trying to convey. During the discussion, every participants can speak out their opinions freely and response to others’ notions. Finally, the moderator has to sum up the whole discussion. Our discussion, in my opinion, was no bad. We’ve made a progress this time, that is, we never run out of things to say; we don’t have much blank that was eventually filled with silence. We were always listening to others carefully, trying to communicate in a positive way. The topic may not be that significant, what matters is how we help each other make their ideas clear to all of us. I kind of like this pattern of discussion now, but we still need more practice to think more on a certain topic and express more. And for me, I need to learn more on how to be a qualified moderator (some prepared questions are essential, I think) and sometimes, a panelist. P.S. Could you recommend some websites where I can have those kinds of tests like we did last time so that I can get to know myself in another aspect? Merci.

Knowing about oneself is always a process that requires patience and reflection. Since we were young we’ve been asked or asking ourselves what kind of person we were, who we would like to be in the future; and the answers differed as time passed by. After this week’s tests, I think I have known myself a little bit more. For the first task, I chose a group of words included reflective, introspective, and then chose the right picture exactly match the words I’ve chosen. Actually, what puzzled me is that I chose two favorite pictures all together, and it turned out that the meaning of them were quite contrary, which, I think, may be an implication that I have a complex, even ambivalent personality. Thinking about there might be a different me in myself was quite incredible but fascinating. For the next bunch of tests relevant to multi-intelligence, I got highest marks on visual study method. Personally I took it for granted that it is the result of all these years of study in which visual method was most commonly used all the way through. I also got highest marks on the intelligence of musical, which was totally beyond my expectation. My intelligence in other areas is almost equal with one another. The lowest marks on interpersonal acts like a warning sign, saying that I should pay more attention to communicate with different kinds of people. It’s a field that I seldom set my foot in; but now, I might have to challenge myself a little.

About panel discussion I have heard about this kind of group work years ago, but began to enjoy it after I listened to Advanced Studio Classroom on the radio about two years ago. We had our first panel discussion last week, focusing on the topic education. Since I didn’t prepare, it became a tough task for me to exchange ideas with my group members. It seemed that some of my partners were experts in that field, they could say a bunch of words in Chinese but failed to convey their thoughts in English. Sometimes we felt something was right there but we could not express it properly. The reasons, according to my opinion, can be analyzed as follow: 1. Without enough preparation, we couldn’t have organized talk and very often, we could not say the exact words. 2. We were not familiar with this new pattern of discussion, so we needed some more practice in order to go further. 3. We didn’t like to be the host or hostess, always. But sometimes I might like to have a try. And suggestions: 1. Use the Advanced Studio Classroom pattern. We can have some material at hand to help us, but instead of reading the whole passage, we choose key words to further our discussion. 2. Know the topic several days before to let us collect those materials. 3. Learn something from real panel discussions on TV. Our topic was inequality in education. We discussed how it impacted us, be it in rural area or in urban area. We also discussed the cause of it, and some solutions were mentioned to improve the situation. After that I felt frustrated about myself, so I surf the Internet and found something useful about this topic. Some main ideas are listed here: Education is capturing heightened global attention. At the World Economic Forum in January 2005 in Davos, Switzerland, business and political leaders ranked education as a leading global concern, recognizing it as a key to beating poverty. investment in teachers is critical. the quality of learning materials strongly affects what teachers can do. Improving education quality does not happen in isolation. Early childhood care and education programmes help with subsequent achievement in school. In the past, the key assessment of educational performance was the number of students enrolled in school in relation to the population of corresponding ages. and so on…… hope we can have more practice in the future

I was more or less surprised by the picture presented in the ppt even though I have seen similar type of photographs many times in different situations. Those poor children, who have been suffered from deep poverty throughout their early life stage, who are always curious about life outside their town and are willing to learn more in their shabby classroom, are confronting with difficulties that people like me would hardly understand without real experiences. I am curious about their simple and sometimes boring life, which may be seen as an idea of ignorance. Actually, I was thinking of going to one of my friend’s hometown to teach the kids there if I have time some day in the future. This kind of experiences maybe an once-in-a-lifetime opportunity for me. When it comes to the question that whether I want to study abroad, I have to admit that I had this intention when I was a really small kid. At that time, I was interested in American culture and people’s lifestyle. But when I gradually grew into an adult, I was not so stick to that wish. Part of the reason is my fancy for literature; it’s better to express one’s thoughts and feelings in the characters he was born to know. Now my willingness to go abroad is mainly to explore the possibilities in life rather than merely to study or to follow the trend to further my academic education there. Learning how to describe procedures is this week’s topic, but it didn’t seem that easy. Our group were arranged to describe how to fold paper to make a square. The process was a lot more difficult than we’ve expected, we were always running out of words to say, and I just kept asking them to follow me, but the problem is that I myself didn’t exactly know how to fold it. So things came into a dead end. Then we and other group exchanged missions. We taught them how to fold a square, and they taught me how to fold a hat, which I think, is much easier. My peers used only: fold, unfold, yes, no, layer, side and some nouns to let me understand the procedures. This capability is significant in daily life; we often run into hot water that something seems to be fairly easy in our eyes but it turns out to be so difficult to portray or describe that we finally say nothing instead. I am weak in this aspect, it seems that I have to work harder on it in the future.

Last week we had our first three presenter talking about their parents’ stories. I was surprised by one of them who lost her grandmother that very day. I felt warm when the second speaker told us about her strong connection with her parents and how happy they were together. The last speaker made us all laugh by his funny experiences when he is a child. After their presentation, I gave them, all of them high grades, for I really appreciated their courage and their stories made me think of my own life as a quiet and obedient kid. This Monday, our group had a presentation too. And part of my duty was to introduce the topic briefly. I am not good at reciting, to be frank, but the reason that I tried to recite the material is that I was trying to be more professional on that topic, saying long sentences with more complicated structures and advanced words. But I kind of failed at that attempt. I was not fluent enough, and I was nervous from time to time when I was on stage. I felt sorry about that, but my teacher said that’s Ok. One of the problems is that I cannot even remember the lines written by myself one day before the speech. And part of the reason of my failure was last week I was too busy to prepare for that presentation. Maybe you could give me some advice to help me out of this puzzledom. Merci. This week we learned how to evaluate a presentation, we use some rubrics to assess whether one’s presentation is good or not. I was wondering that can a speech be excellent in every aspect? Probably not. So maybe we should pay more attention to some parts in the rubrics rather than try to balance every item. While we are learning to deliver a speech, or I might say just give a presentation, it occurred to me that maybe we can listen to some famous speakers’ performances, and then try to analyze them in order to acquire skills and patterns that may help us in future communication. During the next 45 minutes, we talked about computer. We were in attempt to describe cartoons that had different meanings in different person’s eyes. But for me, I could not understand the meaning of them well, especially those related to business and management. We practiced a conversation and picked up some phrases relevant to time period such as: over the last few decades, as early as, within a very short period of time, for a few years, it took several years, etc. Those phrases, I think, will make our speech more organized, which will be easier for the speakers to prepare and at the same time, easier for the audience to understand. What we had learned is far from enough, I was thinking that maybe we could learn more useful expressions about time period in and after class.

This week we talked about some situations one may encounter when giving a presentation. Again, we were divided into several groups with different topics to discuss. After the discussion, I learned the qualities of a good presentation, I learned different types of presentation, I learned how to overcome difficulties on stage in front of a number of people, though I think the strategies didn’t always work for me. To be frank, I’m not that kind of people who feel great satisfaction when presenting a speech to his or her audiences. I prefer group discussion where members can share their ideas and concepts on certain topics. I kind of get cold feet when I am standing right on the stage, but that’s something I think I can attempt to overcome. What matter most is that my character doesn’t seem to let me enjoy the moment on stage and I feel no good when people looking at you with critical eyes. As for this course, I think the most valuable thing I can learn is how to give organized speech, how to use appropriate, or decent, words to describe stuff. If I was asked to give a presentation, I will try a little bit harder to accomplish a good job regardless of my unwillingness. I am just compromising. The topic of our group is how to deal with the Q&A session of a speech. My summary is: always behave in good manners, be tolerant, be thankful and modest; know how to fight back with smile and decent words and how to evade rude or inappropriate questions.

Reflection of the first class 1. How to do a survey and deliver a report We were divided into groups of four, each group got a question that they should interview other classmates and take notes. Because of the throat problem, I let my partners do most of the interview job. I listened and took notes. I shaped the report in four parts: 1. question of the survey 2. results (in general) 3. detail report 4. conclusion I thought we should learn some specialized terms about reporting, but it seemed that we didn’t have time to do that. 2. Topic study: men and women We watched a flash movie called stereotype, which I thought is really witty. After that we tried using exact words or sentences to describe the 12 parts of the movie. My notes was as follow (I can only remember some of them , I am sorry about that) 1. Men go shopping with exact purposes, they buy what they want and leave: women always make a 5-minute shopping into a 5-hours one. 2. The handbag of a man is filled with files, plans, something related to their work, while a handbag of nothing but cosmetic. 3. Women tend to be more emotional than men 4. Talking between men is more of a fight, they tried to convince; while women tend to share. Or as Ross in TV-show Friends said: women talks. 5. Women like to carry more than they really need when they travel as if they are moving; while men just take what they need. 6. Before a date, women are dressing-up and keep dressing-up, while men are waiting and keep waiting. 7. Women are stuck with housework while men are busy enjoying life. 8. Men like to travel around and then go back home; while women can never go far because they are thinking about their house most of the time. 9. When in love, women eat out all they order, and then they want more in the plates of men. …… I was curious about the successor of Cathy at the very beginning and I was hoping that I could have fun while learning useful tips, methods and expressions in speaking English. I don’t know how far I can get during this course, but I will try my best despite of the heavy homework burden from other classes.

1. In the middle of something? 正在忙吗? 有许多许多的人, 对于某一种概念学会了一种说法之后, 从此就只会用这种说法. 例如‘你在忙吗?’这个句子, 很多人在国中起就知道要说, "Are you busy?" 讲到了来美国留学三年, 他还是只会说 "Are you busy?". 其实有时候我们的眼界要放广一点, 对于同一个概念要有不同的变化. 就像是 "Are you busy?" 这句话, 其实老美也很常用 "In the middle of something?" , (但这句话比较接近于 "Are you busy right now?" 是问人家‘现在’是不是正在忙? "Are you busy?" 的含意比较广, 也可指‘最近’忙不忙?) 大家不要小看这么小小的变化, 如果你除了 "Are you busy?" 之外, 有时还懂得刻意去用 "In the middle of something?" 我相信你的的英文说出来就会跟别人不一样. 举个例子吧, 办公室里想找人八卦, 又怕人家正在忙, 这时你就可以问他, "In the middle of something?" (正在忙吗?) 记得在不久之前看过的一部黑人电影 Down to Earth 中也有 in the middle of something 这个用法, 只不过男主角是用这句话来提出一个论点, "The first kiss is always in the middle of something." 也就是说, 初吻总是发生在讲话讲到一半时, 或是当你们正在作其它的事情时, 通常是果不其然的. 他同时也觉得, "The first kiss is the only real kiss in your relationship." (只有初吻才是真正的吻), "The others are just protocols" (其它的都只是一种敷衍、虚应故事而已.)

听力是学习语言的基础。常言说“十聋九哑”,足见听力对于学习语言是多么重要,也说明“听”是听、说、读、学、译五项基本技能之首。 听力训练是英语学习最重要的组成部分之一,是吸收语言素材的重要手段。只有通过大量的听,才能吸收丰富的语言材料,熟悉语言的表达形式。听力差必将直接影响到会话交流。加强听力训练除了可以帮助你练习说英语的本领外,还能改进发音语调,扩大知识面,加深对所学知识的印象,进而锻炼用英语进行思维的能力。 听力材料的选择是非常重要的。入门阶段的听力材料力求语音规范,内容由浅入深,尽量降低理解方面的难度,把重点放在学习、熟悉和用心模仿语音语调上,以便能够尽快建立正确的英语发音概念。听力稍强之后,可以和“说”结合起来,创造机会跟别人进行简易的英语对话,这对提高听力很有帮助。 在加强听力训练的同时,要通过大量的阅读去增加词汇量和扩大知识面,为提高听力铺平道路。听的时候,可以把疑难词语和关键语言点记录下来,经常复习,这样做可以减少练习听力时的困难。 训练听力也应该有所侧重。对某些内容适用面大、生词适量、长度适中、母语为英语的播音员录制的标准听力材料,可以反复听,力争达到能够跟着思考、模仿、甚至复述背诵的水平,这样能够纠正自己的发音,提高自己的口语表达能力,巩固已经学习过的句型、语法知识。在练习单词不很多而篇幅较大的听力材料时,要特别注意文章的主题、论点,文章中出现的人名、数字,事件发生的时间、地点等重要内容,力争关键的句子不听错。还可以将难点记录下来,进行局部的反复练习。 对于更大量的听力练习,如广播电视新闻等即时性材料,应该采用捕捉大意、“不求甚解”的方法,不要拘泥于个别生词或短句,而随时抓住上下文的联系,把握全文的整体意思。听力练习也要循序渐进,先从慢速教材听起,然后过渡到一般速度的新闻广播、故事、科普知识、演讲等材料,到后来还可适当听一些不同地区的英语录音,使自己能适应不同地区的语音语调。 对附有文字材料或标准答案的听力训练,应该尽量做到以听为主,这样才能迅速提高听力。如果每次都是先阅读文字材料,看懂了才去听,或是一边看一边听,养成依赖文字的习惯,那么很么难达到练习听力、提高听力水平的目的。总之,训练听力要经过大量的实践,最好天天听,持之以恒。当你能够从另一种语音中了解世界的时候,那种喜悦实在是难于言表的。

1. ABC corporation. May I help you? ABC 公司, 我能帮你什么吗? 这句话算是制式的讲法. 一般接起电话的人通常会先报公司的名字 "ABC corporation", 然后再说, "May I help you?" 或是如果要更客气一点的话则可以说 "How can I help you?" (我该怎么帮你?), 因为这样的问法表示我‘该’怎么帮你, 而非我‘需不需要’帮你? 但基本上 "May I help you?" 跟 "How can I help you?" 都很常见就是了. 不过如果是机器接的电话, 则听到的多半是这样, "Thanks for calling ABC corporation, if you know your party's last name or extention, press 1. If you want to recieve information or publication, press 2. If you want to talk to the operator, press pound sign or remain on the line." (感谢你打电话到 ABC 来, 如果你知道你要找的人的姓或是分机号码, 请按 1, 如果是想要本公司的简介或出版品, 请按 2, 如果是要找总机, 请按 #, 或是请别挂断. 2. And you are? 你是? 如果人家打电话来是要找你的上司, "May I talk to your manager?" (我能不能跟你们经理讲话?) 这时你总不能糊里糊涂地就把电话拿给经理说, 说不定人家是打电话来跟你经理勒索一百万的呢! 所以通常我们一定要先确定打电话来的是谁. 最客气的问法是, "Whom I am speaking with?" 或是 "Whom am I talking to?" (我正在跟谁讲话呢?) 但是人家一听是像我这种小毛头打电话找他们经理, 他们就会用比较口语的说法, "And you are?" (你是?) 如果人家这样问我, 我就可以答, "This is Benlin." 像是 "And you are?" 这么口语的英文书上大概学不到, 但这却是老美天天在用的句子, 只怕你学了之后还不敢用. 其实真的不用怕. 越简单的句子老美越听得懂. 而且事实上 "And you are?" 这句话还有许多适用的场合, 例如在公司的接待处 (reception). 来访的客人如果说, "I'm looking for Mr. Wolf." (我要找伍夫先生) 接待小姐就可以反问他, "And you are?" (你是?) 所以像这种简单又好用的句子大家一定要记起来喔! 3. I'll put her on the phone. Just a second. 我会请她听电话, 请等一下。 Put someone on the phone 这个片语就是说请某人听电话. 例如你打电话找你女朋友, 结果女朋友的同事接了电话, 就开始跟你东扯西扯, 问你们昨天是不是吵架了啊? 什么时候要结婚啦, 这时如果你实在不想跟她讲了, 就可以说, "Could you please just put her on the phone?" (你能不能请她来听电话啊?) 反过来如果今天是你接到了电话, 结果要找的是别人, 你就可以说, "Ok. I'll put her on the phone. Just a second." (好, 我会请她听电话, 请稍等一下.) 上面讲的 put someone on the phone, 指的多半是只有一只电话时, 但如果像公司里有许多分机, 则用‘转接’ transfer 或是 redirect. 会比较恰当. 例如同样的情况你可以说, "I'm transferring your call." 或是 "I'm redirecting your call." (我帮你转接到分机给她.) 如果是接线生转接的话, 他们有时就只简单地说, "One moment, please." 或是, "OK. I'll put you through." 4. Would you mind holding for one minute? 你介不介意稍微等一分钟啊? 在美国如果有机会打电话给客户服务 (Customer Service)部门, 如果没意外的话都会听到以下的电话录音, "All of our representitives are currently busy serving their customers. Your call will be answered in approximate 5 minutes" (我们所有的客服人员都在忙着服务他们的顾客, 请等五分钟后, 就会有人接听你的电话), 然后十分钟过去了, "Please continue to hold, your call is very important to us." (请继续等候, 你的来电对我们非常重要). 所以大家要知道, 老美基本上对这种无止境的等待是深恶痛绝的. 所以要记得, 如果人家打电话来, 千万不要因为听不懂就说, "Hold on", 然后就跑去求救兵, 这对打电话来的人是十分不礼貌的. 如果万不得已一定要请他稍候, 我们要客气一点地说, "Would you mind holding for one minute?" 所以记得要给对方一个明确的时间, 例如 one second 或是 five minites 不要让对方无止境地等下去. 但是如果一分钟到了你还没忙完, 则最好再说一次, "Sorry, I am still on the phone. Could you hold for another minute?" (对不起, 我还在讲电话, 能不能再请你稍候一分钟.) 5. He's out for lunch. Would you like to try again an hour later? 他出去吃午餐了, 你要不要一小时后再打来? 受到中文的影响, 许多人要讲某人‘出去’吃午餐了常会说成, "He went out for lunch." 其实这个 went 是多余的, 通常老美只讲 be out for something 就行了. 如果要再简化一点, 单说, "He is on lunch." 或是 "He is on (lunch) break." (他正在休息时间.) 这样子也可以. 如果别人要找的人不在, 通常我们有二种选择, 第一种是请别人晚点再打来, 除了像例句用 try again/ call again 之外, 我们也可以用 call back/ try back 这样的讲法. 例如你可以建议别人, "Why don't you call back in 30 minutes?" (你何不 30 分钟后再打来呢?) 第二种选择就是请对方留言, 客气一点的讲法是, "May I take your message?" 或是 "Would you like to leave a message?" (你想留言吗?)

在我们大学的课程里, (英语专业)有一门国际商务交际的课程. 记得第一章是visiting guset, 第二章就是Telephone,这就用了8节课来讲。当时我们觉得这是很简单的,怎么还需要学习呢?但等老师来要我们去实践---用英语接电话,写电话记录的时候,就发现了问题, 不知道该怎么组织语言,怎么问都想不起来..... 后来,我从不敢轻视任何的学习内容,无论我们多熟悉的领域里,总有我门需要不断学习的东西,即使那是非常简单的. 因为如果连简单的事情都完成不了的话,谁会安心把困难的事情交给你去完成呢?

随着电话越来越成为商务活动中不可或缺的要件,商务电话礼仪、禁忌以及应对技巧和惯便便理所当然地成为了OFFICE小姐的必备职业素质之一。如何在频密的电话往来当中,展示自我良好的礼仪素养和职业素质呢? A商务电话基本礼仪 1.在彼此看不到的电话中,双方的心情和心理状态便全依赖声音传送。声音是自然而直接的,即便刻意掩饰,当时的心情和肢体语言也会微妙地显现于声调中。所以,通话时即使看不见对方,也要当做对方很快就会在眼前出现一样,尽可能注意自己的姿势。只要姿势端正,声音自然会清晰悦耳。 2.电话铃响两声就接,莫使时间拖得太长。如果电话铃响5声以上才接,要赶紧向对方道歉。工作电话应对的第一句话,应自报单位名称或所属部门。而且不论内线或外线,应一律用统一的客套话应答。 3.接听电话时,需知对方是谁,必要时应询问对方所属单位或部门,以便利被指名来接听电话的人。 4.接听电话时,左手拿听筒,右手准备备忘录。因此,在电话旁,要事先准备好随时会用到的备忘录用纸和笔,并依照“3W”原则记录,即“WHEN(什么时间)”、“WHO(对象是谁)”、“WHAT(什么事)”。 5.如果对方要找的人不在时,要试着询问对方有无重要事情,或者试着了解对方来电的目的,再看情况决定处理的方式。 6.打电话时,应礼貌地问“请问你现在有空吗?我可不可以请教你几个问题?”或者“对不起,现在和您谈话方便吗?” 7.听不清楚对方说话内容时应确切地将情况告诉对方,并请对方改善,如“听筒好像有问题,听不太清楚,可不可以大声点?” 8.挂电话前的礼貌应对也不可忽视,确定对方已挂电话后才能放下听筒,并且不管多么匆忙,一定要体贴地、亲切地对待来电对方。 B商务电话禁忌 1.和同事聊天时,不要立刻拿起听筒。以和朋友谈话时的轻松语调来应对非常失礼。电话没有挂断前,不要和他人谈笑,更不要批评对方。 2.若有人打电话找某同事,而其不在,对方又表示有急事,询问同事家中电话时,不要轻易回答。一旦电话非本人亲自处理不可时,可先和本人取得联系,再让其和对方联系,才不会造成无谓的困扰。 3.要转告正在接待客人的同事有电话时,最好不要口头转述,可利用纸条传递的方式。如此不仅可防止某些机密泄露,也可避免打岔引起的尴尬和不悦。 4.当对方要找的人不在时,不要随便传话或说出不在者的行踪。 5.商务电话中,不要轻易使用“等一下再打”这种容易引起误会的语句,而最好约定确定的通话时间。 6.打电话和外出的上司联络时,需尽量以上司能回答“是”或“不是”等简单的形式发问。因为,和上司在电话中所谈之事,可能会涉及公司机密;或所谈内容与正在一起的客户有关,很可能会引起客户的不悦。所以,不要问一些让上司很难回答,甚至无法在别人面前回答的问题以免造成上司的为难。 C商务电话技巧 1.对经常打来的询问电话应力求统一,对方来电时,如果需费时查资料,最好先挂断电话,约好稍后再打。 2.没有把握是否可以应付电话时,应该立刻将听筒交给上司,特别是当你判断谈话内容自己无法应答时,绝不可勉强擅自应付。 3.不了解对方所提事项时,利用大声重复的方法,使同事和上司也能适时的提供判断的意见。 4.来电对方不满、抱怨时,即使对方有所误会,也要静静听完对方的怨言,再提出解释说明或澄清误会。 5.打电话时,干干脆脆地切入主题是电话应对的原则,如果商谈的事情很多,可先告知对方,如“我有3件事要相商……”然后逐一把内容详细地娓娓道来。 D商务电话惯例 1.在和客户谈话时,即使电话铃响了两声,也仍以眼前的顾客为优先,不管哪一方在发言,都应等事情说了一个段落后,才可以向对方致歉,再去接电话。这种情况下的对谈,应尽可能简短,避免让客人久等。此外,当自己身为客户与他人洽商而电话铃响时,也应机警的适时中断话题,让对方能尽快接听。 2.当你正在打电话又碰上客人来访时,原则上应先招待眼前等候的客人。此时,应尽快和对方打个招呼,得到对方的许可后,再挂断电话。但是,如果电话讨论的事情很重要而不能马上挂断时,应告知来访的客人稍等,然后继续通话。 3.如果是为了对方的事情才打电话找他,他不在时,就可以请对方回电话。但若是自己有事相托,而打电话几次对方都不在,则要探知对方回来的时间,自己再找时间重打。 4.通话时若对方不小心切断电话,应由自己重拨。知道对方打的是长途电话,要体贴的先询问一下对方“要不要我给你打过去?”5.在外面与他人联络,打电话时尽可能选择安静的地点,若环境不允许,也应在电话中向对方说明,以便了解。

国际商务运作离不开电话这一便捷的通讯工具,当你的声音通过话筒传向世界各地时,是否也能做到彬彬有礼? 语调的魅力----用清晰而愉快的语调接电话能显示出说话人的职业风度和可亲的性格。虽然对方无法看到你的面容,但你的喜悦或烦躁仍会通过语调流露出来。打电话时语调应平稳柔和、安详,这时如能面带微笑地与对方交谈,可使你的声音听起来更为友好热情。千万不要边打电话边嚼口香糖或吃东西。 得体的问答----来电应在第二声铃响之后立即接听,在礼貌问候对方之后应主动报出公司或部门名称以及自己的姓名,切忌拿起电话劈头就问:“喂,找谁?”同样,来电话人需要留话也应以简洁的语言清晰地报出姓名、单位、回电号码和留言。结束电话交谈时,通常由打电话的一方提出,然后彼此客气地道别。无论什么原因电话中断,主动打电话的一方应负责重拨。 电话留言----在商业投诉中,不能及时回电话最为常见。为了不丧失每一次成交的机会,有的公司甚至作出对电话留言须在一小时之内答复的规定。一般应在24小时之内对电话留言给予答复,如果回电话时恰遇对方不在,也要留言,表明你已经回过电话了。如果自己确实无法亲自回电,应托付他人代办。 留意时差----打电话前要搞清地区时差以及各国工作时间的差异,不要在休息日打电话谈生意,以免影响他人休息。即使客户已将家中的电话号码告诉你,也尽量不要往家中打电话。 恰当地使用电话---- 在美国你可以通过电话向一个素不相识的人推销商品,而在欧洲、拉美和亚洲国家,电话促销或在电话中长时间地谈生意就难以让人接受。发展良好商务关系的最佳途径是与客户面对面地商谈,而电话主要用来安排会见。当然一旦双方见过面,再用电话往来就方便多了。
